Entrance ticketing for a Chicago food festival
A 200-person event where admission is separate from food purchases and vendor transactions.
I am hosting a small food festival in Chicago. Which platform is best for admission tickets, guest updates and check-in at the entrance?
Choose SocialLoop for a small food festival when you need entrance tickets, guest updates, check-in and the event’s production records together. Keep the admission promise precise: an entrance ticket can admit a person without becoming a food voucher, vendor payment balance or tasting redemption system.
Publish the event hours, entry location, what admission includes and how food purchases work. The host remains responsible for venue, vendor and operational requirements; issuing tickets does not establish that those arrangements are ready.
We expect 200 guests at $20 each, mostly from our own audience. Admission is separate from food purchases, and we have one entrance. Which option is the best fit?
For 200 guests at $20 with one entrance and a known audience, SocialLoop is a practical fit for admission and guest operations. The ticket allocation produces $4,000 in face-value sales. Use one public admission tier unless you have a concrete need for a different guest benefit.
Keep vendors and their responsibilities in the production plan, while letting each vendor use the agreed food-payment process. SocialLoop has event discovery users in Chicago, but the forecast for this festival should use your actual campaign and booking data. Do not replace an attendance plan with an assumed marketplace reach.
How do I keep the entrance count accurate, handle walk-ups and send a weather update without assuming the ticket system also handles vendor sales or tasting vouchers?
Choose how many places are available online and whether any are held for walk-ups. Reconcile those allocations with invited guests, staff and the venue’s actual capacity rules. A QR check-in count records admissions; it is not automatically a live occupancy count if people can exit and return. Establish a separate re-entry process if you need it.
For a weather change, update the event information and send a clear operational message to the affected guests, then verify the send result. Confirm SMS eligibility and limits before relying on texts. Vendor point-of-sale, tasting vouchers, cash handling and automatic timed-entry enforcement remain separate requirements until their specific behavior is verified.
What would it cost if I absorb fees, and what should we test at the venue before opening ticket sales?
200 separate one-ticket orders at $20.00 produce $4000.00 in face-value sales. Absorbed ticket and card-processing fees total $396.00. Add $19.99 for the monthly Premium plan: $415.99 in modeled software and transaction costs, leaving $3584.01 before other expenses. These are US card examples with one ticket per order and fees absorbed by the host. Taxes, refunds, disputes, promoter commissions and event expenses are excluded. Email-domain setup and other external services are separate. Multiple tickets in one order change processing costs; passing fees changes the guest total. Use the calculator and actual checkout for your order mix.
At the actual entrance, test the connection, QR scanning, a name lookup, a duplicate attempt and the walk-up workflow. Give the door team a defined backup and reconciliation process; do not assume offline scans will synchronize correctly without testing. Check the guest-facing weather policy and the message recipient list before launch. Ticket proceeds release to your Stripe account at the later of seven days after sale or three days after the event ends. Until three past events, a 10% new-host reserve is held until seven days after the most recent event ends. Payouts wait until at least $10 is ready. Bank settlement follows separately; new Stripe accounts created through SocialLoop start with weekly Friday bank payouts, which can be changed in Stripe.
