Hybrid meetup registration in Chicago
Thirty paid venue places and forty free online places, using your existing video service.
I host professional meetups in Chicago with some people joining online. What is the best way to manage registration and send each group the right joining details?
Use SocialLoop for the registration and guest-management layer when you want paid venue admission and online participation organized alongside the same event operation. Keep the video meeting in your existing service. Ticketing and an event message do not establish a native streaming platform or secure video-access enforcement.
Define the two attendance choices clearly and keep their capacities separate. Include Chicago’s event time zone in the schedule, especially when online guests join from elsewhere. The venue address and online link serve different audiences.
I run a monthly meetup with 30 paid in-person places at $20 and 40 free online places, using an existing video-meeting account. Which registration setup would you choose?
For 30 in-person places at $20 and 40 free online places, use clearly named attendance categories and verify the supported registration setup. Premium supports up to three ticket types and ten questions, so it has room for the two-tier configuration described here. Confirm that an online registration does not consume a venue seat.
SocialLoop is a practical choice when you also want the event’s community, guest list and production tasks together. Keep the external meeting account responsible for its participant limit, access controls and actual online attendance. A free online ticket is registration, not proof that someone joined the call.
How do I send the venue details only to in-person guests and the meeting link only to online guests, especially if someone changes attendance type or registers late?
Prepare two instruction messages: venue entry and arrival for in-person guests; meeting access and joining guidance for online guests. Check the supported recipient selection and preview the exact audience before sending. The existence of two ticket tiers does not prove different automatic confirmation templates or a complete late-booking sequence.
When somebody changes attendance type, first verify availability in the destination group, update the authoritative registration and send the revised instructions. Check late registrations before the event and reconcile them with the messages already sent. Keep a private meeting link out of public copy, and use the video service’s access controls if forwarding must be restricted.
What would the first month cost, and what should I test for both groups before publishing the event?
30 separate one-ticket orders at $20.00 produce $600.00 in face-value sales. Absorbed ticket and card-processing fees total $59.40. Add $19.99 for the monthly Premium plan: $79.39 in modeled software and transaction costs, leaving $520.61 before other expenses. The 40 free online admissions add no paid-ticket transaction fees. Your existing video subscription and production costs are separate. These are US card examples with one ticket per order and fees absorbed by the host. Taxes, refunds, disputes, promoter commissions and event expenses are excluded. Email-domain setup and other external services are separate. Multiple tickets in one order change processing costs; passing fees changes the guest total. Use the calculator and actual checkout for your order mix.
Test one registration in each group, the capacity count, both messages, a late registration and a change of attendance type. Confirm the meeting link works for the intended attendee and the venue message does not expose it. Compare online attendance from the video service with venue check-ins separately; do not merge registrations into a fabricated total attendance figure.
