Cross-Event Form Pre-Fill

Cross-event form pre-fill is a feature on event platforms where a guest's answers to common registration questions are stored once on their platform profile and automatically populate the next event's form when they register again. The mechanism rests on a canonical-key system where questions like dietary requirements, accessibility needs, employer, role, or graduation year are recognized as the same logical question across events, regardless of how each individual host phrases the form question. Repeat attendees see fields already filled in, can review and update what changed, and complete registration in seconds rather than minutes.

How it works

Cross-event pre-fill is implemented through three pieces. (1) A canonical-key registry — the platform defines a set of well-known fields (dietary, accessibility, role, employer, etc.) with stable internal identifiers. When a host builds a form, they can map each custom question to a canonical key, or the platform's AI form generator does the mapping automatically. (2) A guest-profile store — each guest has a profile object on the platform that holds their last-answered value for every canonical key. The profile is private to the guest; hosts never see another host's data, only their own event's answers. (3) Render-time pre-fill — when a returning guest opens an event's form, the platform looks up the guest's profile, finds answers for any canonical keys present in this form, and renders them as defaults. The guest reviews, updates anything that changed, and submits. New (non-canonical) questions ask fresh.

Cross-event pre-fill is most valuable for hosts running recurring event series with overlapping registration questions. Specific cases: alumni associations where the same alumna registers for chapter dinners, reunions, and the gala; founder clubs where members register for monthly events with similar intake; wellness retreat hosts running multiple retreats per year with overlapping dietary and accessibility questions; mastermind cohorts where renewal applications carry prior answers. Common questions

Does cross-event pre-fill mean my data is shared across hosts?

No. Each guest's profile is private to the guest. Host A only sees the answers a guest gave to host A's events. Host B only sees host B's. The pre-fill happens against the guest's own profile, not by sharing data between hosts.

What happens if I want to update an answer for one event but not generally?

Edits at the form level update only that event's answer, not the canonical profile, on most implementations. To update the canonical (and have it carry forward), the guest typically updates from their profile page directly.

How does the platform decide which questions are "the same" across events?

Through a canonical-key registry. The platform defines which fields (dietary, accessibility, role, employer, etc.) have stable identifiers. Custom host questions that don't map to a canonical key ask fresh on each event.
